Who we are

Thank You Coach is developed and operated by Truls Lunde. Questions about this policy or about data held about you or your child can be sent to trulslunde79@gmail.com.

Team data (roster, attendance, training sessions, etc.) is entered by the club or coach running the team. The club — or the coach, for a team without a club — decides what is recorded and is the data controller; Thank You Coach is the data processor that stores and displays it on their behalf. For your own account (email, name, sign-in) we are the data controller.

What this app does

Thank You Coach helps sports coaches — primarily grassroots youth coaches in Norway — plan training sessions, manage rosters, and communicate with players and their guardians. Coaches, players and guardians can create accounts to see information for the teams they belong to.

What data we process

• Account data — your email address, the name you enter, a sign-in identifier, and whether your email is verified.
• Player data entered by a coach — names, birth years, positions or skill level, and attendance/RSVPs.
• Guardian/player contact info — email addresses used to invite them to a team.
• Team content — training plans, drills, tournaments, announcements and sign-up sheets.
• Coach notes and development goals about a player, when a coach chooses to record them. Each note is only visible to the audience its author picks: the coach alone, the team's coaches, or also the player's linked guardian(s)/player account.
• In-app messages between guardians/players and coaches.
• Push notification tokens, to notify you about changes — only if you've enabled notifications.
• Drills you publish to the shared drill library, which then become visible to other users.
• Crash reports (Firebase Crashlytics) when the app crashes: device model, OS version, app version, technical error details and a random installation ID — not your name, email or team content.
• App verification (Firebase App Check with Apple App Attest/DeviceCheck): a technical check that requests come from the genuine app. It contains none of your content.

The app is free. We don't collect payment details, don't use advertising or analytics trackers, and don't sell data.

Where data is stored

Data is stored with Google Firebase (Cloud Firestore) in the EU — Finland (europe-north1). Google is our sub-processor.

Our server functions — including sending notifications, deleting accounts and exporting data — also run in the EU, in the same data centre in Finland.

Crash reports (Firebase Crashlytics) are processed by Google in the US, under Google's data processing terms with the EU Standard Contractual Clauses. They contain no name, email or team content. Notifications are delivered through Apple's and Google's push services.

How we protect data

• A team's data is only accessible to that team's own members — coaches and invited guardians/players — through authenticated accounts and access rules enforced on the server.
• Invites are sent to an email address and can only be opened by an account that has verified it owns that address.
• Notes about a player are further limited to the visibility their author chose.
• We are rolling out Firebase App Check to verify that requests come from the genuine app.

Children's data

The app is built for youth sports and therefore holds information about children, entered by a coach or guardian. You must be at least 13 to create an account yourself. Younger players only get access through an invite involving a guardian or coach. As a guardian you can see, correct or delete information about your child — see “Your rights” below.

How long we keep data

• When a player is removed from a team, their data, notes and development goals on that team are deleted automatically.
• When a coach deletes a team, the team's data is deleted.
• You can delete your account at any time in the app (Profile → Delete account); your account and data linked to you are then deleted.
• Crash reports are deleted automatically after 90 days.

Your rights

You have the right to access, correct and delete data about you or your child, and to receive it in a portable format.

• Export: guardians and coaches can download a player's data from the player's page in the app.
• Deletion: delete your account in the app, or ask the coach to remove a player from the team.
• Correction: ask the coach to correct a player's details, or contact us.

Where the club is responsible for the data, we pass your request on to the club. Contact us at trulslunde79@gmail.com. You can also complain to the Norwegian Data Protection Authority, Datatilsynet.

Changes to this policy

We may update this policy as the app changes, and will update the date at the top when we do. We'll let you know in the app about significant changes.
